One of the most powerful and easy to use elements of GeckoVisit is the Auto Waitlist feature.
You can toggle this feature on/off either when creating your event for the first time, or in your event Edit tab.
The concept behind Auto Waitlist is simple. Your events will sometimes have a limited amount of space for attendees. Once you define the Maximum Attendees for your event, any registrants over that number will automatically be assigned the Waitlisted attendee status.
If an attendee who is Registered to your event opts to either removed or cancels, the first contact on the waiting list will be added into your event.
Let's illustrate this with an example:
- You have an event with maximum attendees set to 100.
- 100 users book onto your event. The 101st user joins the event as Waitlisted.
- Event attendee number 50 cancels their registration prior to the event. User 101 is automatically added to the event as Registered.
The great news is that you can easily set workflows to automatically send an email, for example, to any users with the Waitlist status, informing them that they're on the waiting list and that they'll receive further communication should a space become available.
This fully automates the waiting list and ensures tedious event admin work is taken away from your team, freeing them up to be more productive with their time!
Setting up Auto Waitlisting
Simply toggle Auto Waitlist to the 'on' position, put a value in the Maximum Attendees box and hit Save Changes in the top-right corner.
