In order for your team to consistently perform at the highest level, working with the most accurate, up-to-date information available is critical. To this end, it's never been easier to automate the intake of information into Gecko from a third party source.
Imports can be fully integrated with FTP/SFTP servers, allowing them to serve as a focal point for Gecko to gather the latest information for you. Put simply, upload your most recent data as a .CSV to your FTP/SFTP server, point Gecko in its direction, and tell us how often you'd like to pull information across.
In order for this to be achievable, you'll first need access to an FTP/SFTP server. We recommend speaking to your IT team and asking them to create this for you.
Once done, you'll need to download an FTP client (popular examples being FileZilla, FireFTP, or WinSCP). Using your client of choice, upload the .CSV file(s) and log into Gecko.
Now your file(s) are hosted on your FTP/SFTP server, we can go about linking them to Gecko.
Begin by navigating to Settings > Import Data and click + New Import in the top-right corner of the screen. Select File Import from the dropdown and hit OK.
Give your import a Title to identify it internally, and set the import type as Recurring Import. Gecko supports four different import types:
Once satisfied with your selection, make your way to the Recurring Import section. This is where we provide Gecko with the location and login details to your server:
Hostname: The host name of your FTP/SFTP server.
Port: The port number we should use to access your server.
Path: The directory/ address of the files you'd like us to import.
Username: The name we should use to log into your server with.
Password: The password we should use to log into your server with.
Driver: Select the type of server (FTP or SFTP).
Form: (Only visible if the Import Type is Responses) Choose which Gecko form you're importing responses for.
When the above information has been entered, click Access FTP Folder in the bottom-right corner.
All that's left to do now is to set the Frequency of your import and to map the cells on your .CSV file to the fields within Gecko. For a guide on successfully mapping fields, we recommend clicking your chosen import type as listed earlier in this article.
Recurring imports have the potential to be a fantastic tool to help minimise the amount of manual data input on your account. Though more complex in initial set-up than a one-off import, they represent an elegant solution that can get you all the latest information as often as you need it.
