Event workflows allow you to set automated actions that trigger depending on the stage of an event or attendee interaction. You can set up automated triggers from the sign-up stage to post-event analytics and follow-up. You set up event workflows the same way you do in forms. Just go into an event, and on top click on the Workflows tab.
The available conditions are quite specific:
The 'Contact Field' condition allows you to target your workflows based on the data in the contact record. So, for example, you could set up a workflow that will only trigger if the attendee is affiliated with a specific organisation or if their contact record is incomplete.
The 'Status' condition allows you to trigger a workflow based on the stage in the event that the subscriber is currently at. When an attendant fills out a sign-up form their default status is set to 'Invited' (note: check your Settings - Account Settings to confirm this is the case.) After confirming their attendance through the RSVP page, their status will be changed to registered.
When scanned at an event with our mobile app, by default the status will change to mark them as attended. You have another option that is engaged, which you can manually assign to a contact through the mobile app, or you can set set up the app to mark anyone attending specific sessions as engaged. These event statuses can be used to trigger email workflows at specific stages in your event. So for example, you could set up a workflow action that will send emails to anyone with an attended or engaged status. Thus you can send out a survey email to all those who attended your event.
The 'Event' condition lets you focus your workflow on a specific Event or session. This allows you to filter down the moment at which the action should be triggered. For example, you can use the 'Event' condition in combination with the 'Status' condition to send out emails only to attendants of specific event sessions.
At this stage you should already be familiar with the actions available in workflows, which for events include the following:
Sending out emails.
Sending out SMS messages.
Adding labels to contacts.
Adding contacts to another event.
Adding contacts to a call campaign (for users of GeckoTalk).
