Importing responses from a spreadsheet allows you to combine data collected by means other than Gecko. When importing responses you will be able to assign them to one of your forms, events or users. You can even choose the type of workflows that you want to be triggered once the importing process is finished.

To get started, head to Settings > Import Data and click + New Import in the top-right corner. You'll then be asked the type of import you'd like to run. Choose File Import and then hit OK.

Give your import a Title and pick whether you'd like this to be a One-off import or Recurring Import. Set the Import Type as Responses

Finally, pick the form you'd like to add your responses to, upload your .CSV file in the Import File section and click Upload .CSV in the bottom-right. 

In the Workflows to run on import section, you can choose which of your selected form's workflows will trigger when your responses are uploaded. Now the set up is complete, it's time to map our data on our file to the relevant fields of our form:

Required fields

  • If there are any fields set as Required on your selected form, these will, by extension, also be required for your import to be successful. Any Required fields will be clearly identified for you just above the CSV mapping area.

Other / Commonly seen fields 

As each form will ask different questions, it's difficult to guess which mapping options you'll have when importing your response. Below are some of the most common mappings we see:

  • Full Name - Allows you to map the name for the contact submitting the response. Selecting Full Name allows you to specify the format of the name on your import (i.e. First name only, Last name only, Last Name - First Name, etc.) 

  • Email Address - Allows you to include the captured email address on your form response. 

  • Created At - By default, this value will be the date/ time you import your file. If you'd like to backdate this response to the date/time at which they were originally collected (i.e. a recruitment fair), the Created At value will overwrite the import time. 

  • Event ID - Allows you to add Event captured at information to your response. To find the unique event ID, open your event in Gecko and look at its URL in your browser. In the below example, my Event ID would be 3743

  • Captured by - Allows you to specify which Gecko user this response was originally Captured by. To find the correct unique user ID, navigate to Settings > Users and click the name of the desired user. As with the Event ID, look at the URL and take note of the numerical value. 

  • Note - Mapping to Note will upload the contents of the cell to the Contact > Note section. The note will also be viewable in the contact activity log. 

  • Telephone Number - You are able to separately map the Number, International Dial Code and/ or the ISO Country Abbreviation to automatically assign the correct dialling code. If no Dial Code or Country Abbreviation is specified, Gecko will apply all mapped numbers with the default international dialling code as outlined in your Settings > Account Settings > Default Country field. 

Once you've mapped the fields on your .CSV to the above options hit Finish Import. If all is set up correctly, your responses will now be successfully uploaded and run through your form in Gecko!
