Payment status-based communications

2 min read - Use Workflows to automatically follow up based on payment status.

Once you're taking payments through Gecko, Workflows can help you automatically respond to different payment outcomes.

This could mean sending a confirmation after successful payment, following up on an expired payment, or updating a contact based on their payment status.

Using the payment status in event workflows

Within your event, create a new workflow and use Payment Status as a condition.

You can then choose the payment status you want the workflow to respond to and add your actions.

For example:

Payment completed ✅

Send an email confirming that payment has been completed and provide any useful information for the event, such their itinerary, arrival information and what to bring on the day.

Payment expired ⏰

Automatically follow up with anyone who didn't complete their payment. For example, you could let them know their original registration wasn't completed and include a link allowing them to register again. This gives you an opportunity to re-engage people who may have abandoned the payment process.


Using the payment status in form workflows

Payment Status can also be used as a condition within Form Workflows.

For example:

Payment Status = Completed

→ Add a Payment Successful label

Or:

Payment Status = Expired/Failed

→ Add a label or trigger another appropriate follow-up action.

💡 Don't limit yourself to labels! Payment Status can be combined with Gecko's other workflow actions, such as follow up emails or texts, allowing you to build follow-up journeys around the outcome of a payment.
