The Visit mobile app allows you to easily manage attendance at all your in-person events. Designed to work online or off, it can scan attendees' QR code tickets, register brand-new attendees and manage attendees' bookings on the fly.


Downloading the app

The Visit app is designed to be lightweight and will work on a range of device types. Installing the app is no different from installing any other app on your iOS or Android device. Tap the store you wish to access below, or log into Gecko and navigate to Download Apps.

Setting up the app

Whilst the Visit app works perfectly offline, it's worth noting that this is the only setup step requiring an active internet connection. Everything else can be done offline until you want to push captured attendance data back to Gecko.

Find the Visit app on your device and open it. If you haven't logged into the app before, enter your email address and password (and MFA code, if applicable) and tap on the account you want to log in to.

From here, find the event you'll be using the app at and tap the download icon.

This will download the event and information on all sessions (if applicable) and all participants due to be attending.

Any events you've downloaded will appear in the Downloaded Events section. Whilst you have an active internet connection, you can download any of your other current/future events.

If you've accidentally downloaded the wrong event or want to clear a previously downloaded event, tap Settings in the bottom-right corner of the app and use the Delete an Event or Delete All Data options. Don't panic - using these only removes the event from your app - it won't delete any data from your Gecko account.

It is also wise to head to Settings > Registration Form and pick a booking form. This will allow your team to capture data and add to your event any students who show up to your event unannounced/without any prior booking. Just note that the registration form will rely on your active internet connection and won't work offline. Using the app

Cometh the hour, cometh the app! Let's learn how to use the Visit app at an actual event. We'll learn how to check students into the overall event and deep dive into checking students into sessions (and helping them manage their session options that might have changed!).

Single event

Open the visit app and tap the name of the downloaded event you're working at. There are three ways the app can be used to capture student attendance:

  • Scan Event - Using QR tickets/RSVP pages? Use your device camera to scan them! Tap the green Scan Event button in the Event Details tab to open the rear-facing camera on your device. If applicable, this can be flipped to the front-facing camera by tapping the portrait icon when the scanner is open. Point the camera at the student's QR code, and the app will let you know the name of the student you've just scanned in. By default, the camera will stay open ready for you to scan the next student!

  • Attendees tab - A super method when not using RSVP pages or the student has forgotten their ticket. Go into the Attendees tab and search for the student. One tap on the Registered button to the right of the student's name is enough to mark them as Attended! The student's attendee status and guest count can also be changed by tapping on the student's name and an itinerary of any sessions they're due to be attending.

  • Unexpected walk-ups - You'll inevitably have students who attend events without booking first. Luckily, the visit app allows you to capture the details of those students. Go to the Attendees tab and click the + icon at the top of the attendees list. This will open an online registration form which you can use to quickly capture the student's details and add them to the event. The form can be set in the app Settings > Registration Form section. You can also use the Capture app for a wholly offline solution to capturing these walk-ups.

Sessions

Wanting to use the Visit app to capture attendance at individual sessions? No problem. Tap into your event, head to the Sessions tab, and select the session you're capturing attendance for. Once selected, the Visit app functions much the same as above.

Clicking into an attendee profile allows you to Manage Sessions (adding students to new sessions or removing them from pre-booked sessions), Edit Guest Counts and, on the attendee Sessions tab, remind them of all currently booked sessions.


Syncing back to Gecko

Once your event has finished, you'll be surprised at how easy the follow-up work is. You can sync the data to your Gecko account by tapping Sync Data at the bottom of the app.

Here you can review any changes before tapping Sync all Changes. Once synced, any workflows for follow-up communication set on the main event, will trigger as normal.
