Sharing your events

Sharing and promoting your events to students can be done quickly and easily in Gecko. Learn how in this article.


Event field

The event field can be added to any Gecko form to share any single event or event belonging to a category. Gecko automatically hides any events that have finished from the event field.

To get started, go to Forms and click your event booking form. On the form Designer tab, click Form Fields and add the Event field to the form before clicking Save changes.

Click to edit your event field and go to the Options tab. Here you'll be able to configure several settings:

  • Type - Pick whether you'd like Gecko to pull in a category of events or a single event.

  • Registration Status - If a student registers for an event, what status should they be added to your event as? By default, this will be Registered.

  • Sort By - If your event has sessions, how should the sessions be ordered? Chronologically be session start date/time, or alphabetically?

  • Disable Calendar Picker? - Only available if the event field pulls in a category of events. As the name suggests, toggling to on will disable the calendar picker and display available events in the category as dropdown list items.

  • Show Full Events/Sessions? - If toggled on, Gecko will hide any events or sessions that have reached maximum attendance.

  • Select field to filter - If you've configured your event field to point at a Single Event (as opposed to a Category of events), you can select a Dropdown Single or Multiple choice field on your form to pre-filter the sessions your event field will display.

    As explained in the video above, for this method to work, you'll need to make sure that your Event > Session > Session tags match the values in the field you're using to filter on your form.

When you're happy with your setup, click Update and Save changes, and you're ready!

Your form can be shared by clicking the Share tab and either sending the webform link to students via email or text, sharing the QR code with students, or embedding the form on your website using the provided javascript.

Students who sign up for an event using the event field will be instantly added as attendees in the chosen event.


Event share page

The event share page can show a single event, all events within a specific category, or all future events on your account. Gecko automagically removes any events that have finished from the event share page.

To start, go to Events > Share and pick a booking form. This dropdown will show any Forms with at least one event field saved on them.

Next, choose which events should be showcased on your event share page;

  • 🌍 All Events - Share all currently active/future events on Gecko

  • πŸ”Ž By Category - Share all events belonging to a specific category

  • 1️⃣ Single Event - Share one specific event

Now it's time to share your share page! Your webform link can be sent to students via email/text, shared by QR codes, or embedded directly on your webpage using a javascript or iframe.
